San Francisco General Hospital Foundation (SFGHF) is a nimble non-profit with a high-impact mission: to provide affordable health care for the most vulnerable in the city and its neighboring counties, at the Priscilla Chan and Mark Zuckerberg San Francisco General Hospital. 

 

The Hospital is renowned for its training and research and for providing compassionate and quality health care to 100,000 inpatients and 500,000 outpatients annually. With the support of SFGHF’s fundraising efforts and the generosity of our donors, the Hospital has been able to provide quality health services, in addition to Level 1 trauma and 24-hour psychiatric emergency care. You may know of us from our Hearts in SF campaign, and the decorated large-scale heart sculptures placed around our unique city.

POSITION SUMMARY:


 This is a full-time, regular position that requires a hybrid schedule of remote and office-based work and occasional availability to work outside of standard working hours as needed. 

 

 The person in the Office Manager role must have exceptional customer service skills, enjoy greeting visitors and have a pleasant phone manner. They must have excellent oral and written communication skills, be highly organized, detail-oriented and accurate, and be able to multi-task and prioritize to meet deadlines and work in a fast-paced office environment. This position also requires some tasks associated with accounts payable and receivable accounting transactions. It is essential that the Office Manager has the ability to effectively assist and interact with the staff, Board of Directors, Zuckerberg San Francisco General Hospital staff, other organizations and a diverse spectrum of groups and individuals. This person will report to the Assistant Controller. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Serve as the Receptionist for the Foundation offices, welcoming all visitors and being the first point of contact for guests and vendors. These duties also include answering the main phone line, maintaining general info email, and ensuring the upkeep of common areas for appearance and functionality; 
  • Accounting support, including accounts payable and receivable entries;
  • Serve as the primary point person for collecting and initiating the processing of incoming donations. Duties include creating the daily mail log and scanning donations and backup documentation; 
  • Retrieve daily mail from multiple locations and distribute mail to appropriate staff; 
  • General meeting support, including arranging meetings upon request, maintaining meeting room schedules, and coordinating catering services and supplies; 
  • Provide administrative support for the Foundation’s Insurance Program, Human Resources, and other compliance needs, including managing insurance certificates and filings with government agencies; 
  • Conduct new employee onboarding training; 
  • Maintain office material inventory, ordering of supplies, and organization of staff breakroom; 
  • Assist with the management of vendor relations; 
  • Provide support for other Foundation staff with projects and mailings as needed; 
  • Assist Foundation staff with special projects and/or donor events as needed; 
  • Manage the IT log and assist staff to coordinate IT support requests as needed; 
  • Maintain the office copier, postage machine, phone systems, and other facilities-related tasks; 
  • Assist with Board documents and meetings; provide logistical support for meetings including gathering Board book materials, arranging meeting spaces, and other meeting tasks as necessary; 
  • Coordinate with the Chief of Staff on Staff Advisory and Engagement Committee tasks 
  • Manage Employee Assistance Program by promoting its use and conducting quarterly meetings with the vendor on utilization; 
  • Perform general administrative support and other tasks as assigned. 

EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, and ABILITIES:


  • Associates or Bachelor’s degree preferred. 
  • Highly proficient in Microsoft Word, Excel, Outlook, Sharepoint 
  • Strong organizational skills with the ability to prioritize and manage multiple tasks and responsibilities. 
  • Commitment to quality work, accuracy, high productivity, and attention to detail. 
  • Possess a sense of humor and the ability to adapt within a small but highly productive, fast-moving open office environment. 
  • Strong commitment to customer service excellence. 
  • Demonstrated database experience is a plus. 
  • Valid California driver’s license (required). 
  • Ability to lift between 15-20 lbs.

This is a hybrid role with partial days onsite and partial days working remotely. As the Foundation is housed within a City of San Francisco building, and because we work closely in tandem with our Hospital partners, all onsite San Francisco General Hospital Foundation employees are required to be fully vaccinated against COVID-19 as a condition of employment (except in cases of a verified medical condition or sincerely held religious belief, and only then if it causes no undue hardship to the organization or is otherwise mandated by state or federal laws).
